
The primary purpose of the Clinical Director position is to efficiently operate Willow’s desired location (this can be in a clinic or home-based services, depending on the location), train staff members to the highest quality while ensuring clinical quality for client progress as the number one priority. There are supports on both the clinical and administrative sides of running an efficient center.
POSITION OVERVIEW
The Clinical Director at Willow ABA Services will direct and guide a team of BCBAs, RBTs, and Operations Manager to maximize client progress as their number one priority. He, she, or they will be expected to act in accordance with the highest professional, ethical, and clinical standards. The BCBA is responsible for supporting the quality and quantity of Willow's day-to-day clinical operations. The Clinical Director will supervise and lead clinical supervisors (BCBAs) to ensure that they are performing their jobs in accordance with the guidelines set forth by Willow, HIPAA regulations, the BACB's Professional and Ethical Compliance Code for Behavior Analysts, and all other pertinent regulatory bodies. Additionally, the Clinical Director will be responsible for assisting in the implementation and enforcement of Willow's company-wide policies, protocols, and related documentation for the provision of high-quality Applied Behavior Analysis (ABA) treatment services. Furthermore, the Clinical Director will be responsible for directly supervising the supervision and protocol modifications implemented by their clinical staff's (e.g. clinical supervisors, clinical leads, RBTs) ABA programming for clients diagnosed with Autism and/or related developmental disabilities, as well as other co-occurring intellectual or behavioral disorders. Oversight and support will include but will not be limited to the following: client assessments, client treatment selection and development, client treatment evaluation and interpretation, and staff training. Additionally, the Clinical Director will conduct continuous documentation audits for all staff members working on their caseload in accordance with Willow policies. The Licensed Clinical Director will practice in an effective, efficient, ethical, and socially valid manner. They will treat the safety of all clients and other individuals involved in each case as their top priority. ABA treatment services may be delivered in clinic only unless otherwise approved by the COO. The Clinical Director's primary responsibility is to develop and oversee the progress of his/her clinical team including clinical supervisors, clinical leads, and RBTs. The Clinical Director will provide staff development and training events based on the implementation of behavioral and skill acquisition protocols, data collection, and progress monitoring techniques. The Clinical Director will provide oversight to clinical staff as needed by observing, determining barriers, and eliminating barriers to the best of their abilities prior to escalating issues to the COO.
PRIMARY REQUIREMENTS
Staff Progress
As a Clinical Director, it is your primary priority to develop and advance your staff's progress as your number one priority, as this will ultimately maximize the progress of your clients.
Part of this means meeting with your clinical staff on a regular basis. Clinical supervisors are responsible for setting up one-hour weekly meetings with you, but you are responsible for setting up incentives for them to do so.
20 billable hours per week (based on availability)
These would ideally be BCBA hours (i.e. 97151, 97155, 97156), however, it is understood if these hours are completed at 97153 as needed.
Oversight should be provided to your clinical supervisor's caseloads as you audit client progress to determine barriers for your clinical supervisors and RBTs.
40 hours per week of clinical tasks
Your 20 hours of overflow can be spent on client-specific tasks which are non-billable and other tasks or trainings which are beneficial to the completion of your primary duties. Should you have any questions about how to spend this time, contact your COO to receive guidance.
As the director, you will be responsible for either opening and closing your clinic every morning and evening or appointing a trustworthy individual to open or close for you in the event that your 40 hours are completed outside of open and close.
5-20% oversight of each staff members hours
You will be responsible for ensuring each of your clinical staff is receiving oversight from their supervisors or yourself to help progress their clinical development.
Hiring
Responsible for all in-person/working interview that will be conducted for hiring both RBTs and BCBAs alike
Parent Consultations
Responsible for meeting with the parent to gather information to guide the assessment and finding another person to be with child (if present or necessary)
Treatment Plan Oversight
Responsible for reviewing and ensuring quality of all TAPs prior to submission.
Responsible for communicating and monitoring timelines for completion and submission.
Time spent reviewing may be billable depending on the client's insurance, hours available and skill level of the supervisor.
Assessments
Responsible for preparing and running the assessment and determining if another person is necessary.
TAPs for assessments should be written and submitted within 72 hours of the assessment unless otherwise approved by the COO or DPI and is communicated within the 72-hour window. \*Any TAPs completed outside of this window must have a daily update sent with progress and anticipated submission date.
Caseload Disbursement
Responsible for assigning/reassigning clients to supervisors based on the clinical match of the supervisor's skillset and client's needs.
Staff Management
Ensure your clinical supervisors are following along with treatment plan updates, progress reports, session notes, etc. to maintain the functionality of clinical services.
Staff Training
You will be required to set up systems of training which are functional for your clinic or home-based location on your clinical supervisor's and RBT's feedback with the Director of Training and Development.
Oversight should be provided to clinical staff to ensure they are trained on dissemination of training procedures.
When staff is not meeting training fidelity, you are responsible for filling in the gaps on training your staff members and ensuring there is a plan of action for training your staff members.
Filling out training request forms on behalf of staff members that may need additional training from the Director of Training and Development.
Tracking
It is your responsibility to ensure you are tracking your own billable and non-billable time as well as auditing for clinical supervisors' billable and non-billable time.
It is your responsibility to meet with your Operations Manager to ensure they are updating the trackers that are being utilized per the recommendation of your COO and CFO to ensure you are making progress at the pace advised.
It is your responsibility to ensure your RBTs are maintaining 5% oversight every month and that your clinical supervisors are receiving training throughout meetings with you ever week. IF you do not feel equipped for this, contact your COO and Director of Training and Development to get adequate training materials.
Parent Trainings
It is your responsibility to ensure your supervisors are scheduling monthly parent trainings.
20% of parent trainings should be overseen by you as well to ensure parents are making progress with ABA procedures and their understanding of their child's progress.
Meetings and Communication
You will be responsible between yourself, your clinical supervisors, your RBTs, and your Operations Manager.
You will be responsible for ensuring your clinical supervisors are maximizing their requirements as well.
Documentation of Auditing:
Per funding requirements, you will be responsible auditing 10% of your staff's notes including oversight notes.
Professionalism
Maintaining and modeling a no-toleration policy for gossip and negative statements about co-workers. Although venting frustrations is a common practice among co-workers, this always needs to be followed with a practical solution statement (e.g. "This person never converts her notes on time...let's see what the barriers are and help her eliminate those.").
Directing issues to the COO or CFO to escalate if needed
Minimizing complaining and negativity by setting a good example for RBs and other employees

Position Requirements
Hold an active BCBA License from the BACB
Master's Degree in Applied Behavior Analysis or related field
Practiced as a BCBA for 3+ years
Successfully ran an ABA clinic for 1+ year
Competency writing behavior reduction and skill acquisition programs
Ability to provide supervision for staff in school to become a BCBA
Creative and organized
